As a recent hire at my new job, as expected, a lot of things seemed scary and overwhelming. The scariest part was not the unfamiliarity with certain tasks or certain tools, but in communicating with higher-level coworkers, managers and bosses. This perhaps comes from holding a junior position and not being completely aware of the role I play in different areas at work, but it was definitely harder because I was part of an all-remote team, who I had never met before.

Although I had previously worked remotely before, working remotely for a small startup vs a bigger company definitely comes with different challenges. As a result, after giving myself a bit of time to gain some comfort and understanding to the new role, I started reflecting on the pain points I was experiencing and how my experience within the design team, and as a new hire could be improved through a list of “Working Remote Essentials”. My goal was not only to improve my day-to-day but that of my teams and of potential new hires.

Creating an Internal Design Kit/system

As I worked on different projects and collaborated with different people, within the design team, or other teams I started noticing a lot of communication issues. Being new to the company and to the team, I wasn’t sure if this was an issue I was facing or if others were facing it too. As a result, I automatically assumed it was only me and noted down things I had to keep in mind for future productivity and efficiency. These included things like, where to find the fonts we use, where the past client work is, where we keep the documents for client calls, a running list of the software we use and when, documents we use within the design team, marketing team etc.

I noticed that a lot of design asset locations were unsure by many people in the team and most of the parameters and design requirements was already familiar to everyone so there wasn’t a need to keep it stored somewhere. As a recent hire, this was a huge problem for me and I found it delaying a lot of my work.

As a result, I created an internal design kit/system. This serves to be a one-stop-shop for members of the design team, new hires, and members of other teams to find everything they need related to the design team’s assets.

The kit includes software we use, a list of important contacts within the company, previous work, previous and current clients, monthly and weekly to-do’s, UX, and Marketing Kits with branding assets. In addition, it also includes an additional learning section where team members can link books, certifications, courses, and articles that they’ve read and recommend.

In addition, there were a number of other things that could improve the communication and the bond within our team. I came across a recent publication by InVision called Remote Work for Design Teams (100% recommend you read the whole thing, it’s amazing) where I learnt of specific ways other remote design teams operate and how they have handled miscommunication in their own setting. After coming across this publication, we quickly incorporated it as a weekly reading in our team, where we would assign 2–3 chapters per week and discuss it in our Monday morning check-in’s.

These consisted of sharing something you’re working on with your team for some constructive feedback. It started with setting up a whiteboard through InVision’s Freehand tool to showcase how you’re thinking. Before the critique, it was important to share with your team: What the project is, What stage it’s in, What your current constraints are and What you’re looking for feedback in specifically.

Show and Tell anything and everything! Whether it’s design related or not, learning from your team is HUGE. We’re all constantly consuming media, and the media we consume can be similar in many ways, and also vastly different considering our different interests. I’m a huge believer in not only growing in the design field, but expanding your knowledge and interest in other areas that can in turn not only help you grow personally, but professionally as well.

Although this might already happen naturally, when working remote, we don’t have the luxury of being able to walk up to someone’s desk or turn around and show someone something. Setting a specific time helped our team grow in other areas that in turn helped us be better designers as well!

Re-establishing a communication strategy

Lastly, all of this comes together with a great message. Working remotely can be harder, and even harder if you don’t have a set communication strategy in place. As I notice other teams go completely remote too, re-visiting your communication strategy is super important. Working from home comes with a number of new distractions, motivation-killers and snack time(a lot of snack time).

Finding a way to establish a new communication strategy with my team, managers, and bosses helped me manage my time better, be more efficient, take care of myself and those around me while designing amazing things! I was able to learn to say “No I can’t, I have too much on my plate”, or “Do you think we can hop on a quick call to clarify some things from our client meeting”. This helped my teammates and I understand where we stood as a team and where we could help each other out!

Working from home is a completely different ball game but it can be so so great! As we all turn remote during this time, there’s a number of resources out there that have helped me out in my own role as well as the people around me.
